Freight Receiving Checklist

Check and Verify the Shipment Immediately
- Confirm the shipment is addressed to your location and you are the intended recipient.
- Count all pallets and boxes against your packing slip or order confirmation.
- Inspect for visible damage before signing anything

Verify Security Tape on Each Pallet
- Check that the security tape is intact on every pallet.
- If the tape is broken, missing, or tampered with:
- Take clear photos of the breach.
- Note it on the delivery receipt before signing.
- Inform the driver that the pallet appears tampered with.
Note: We always apply “DO NOT STACK” on all freight orders. If a pallet looks like another was stacked on top of it, or if boxes/bags look smashed down, note this on the delivery receipt - even if items do not appear damaged initially.

Inspect All Items Thoroughly
- Open and check every box for correct items, damage, or shortages.
- If any items are missing or damaged:
- Document the issue with photos.
- Note details clearly on the delivery receipt.

Report Issues Immediately
- Email all issues to: wholesale@buildasoil.com
- Include:
- Photos of damage or tampering.
- A copy or photo of the delivery receipt with driver notes.
- A list of affected items.
- Do this ASAP - ideally within 24 hours of delivery.

Important: Claims Depend on Documentation
- Claims for lost or damaged freight can only be filed when:
- The delivery receipt is properly noted.
- Supporting photos and details are provided quickly.
- If issues are not documented at the time of delivery, it may not be possible to recover your losses.
Please note: We know employees and drivers are busy. The main thing is to catch any obvious issues right away, like broken or missing security tape, and then note these issues on the driver’s paperwork so we can get ahead of any problems. This checklist is a guide for when you have time to go through the shipment more thoroughly later. We just want to make sure any major issues are spotted early so they’re easy to resolve.
